Here's an introduction to the five types of forms and when and how to use them:
Contracts are used to form a legally-binding agreement between you and your client. In addition to displaying your terms, you can add fields that require your client to sign or initial electronically.
If your client needs to sign multiple documents, you will create your primary agreement as a Contract and any additional documents as Sub-Agreements. You may also consider combining all of your terms into a single Contract in Dubsado, depending on the length.
When you have more than one document for your client to sign, you'll need to create a Sub-Agreement.
Sub-Agreements have all the same functionality of Contracts, but you can add more than one Sub-Agreement to a project.
The most common use of a Questionnaire is to collect information from your client. Questionnaires can be built with many types of questions, such as short answer, free response, check boxes, dropdowns, date selection, and more. With the file uploader element, clients can even upload files to share with you.
Have a guide on what to expect from your services that you would like to share with your clients? Create it as a Questionnaire! Shot lists, event timelines, client check lists, and informational documents can all be created as Questionnaires. There is no requirement to include a question element on your Questionnaire.
Proposals streamline the booking process by giving your potential clients the ability to select a package, sign your Contract, and pay their Invoice all in one place. With this little bit of Dubsado magic, you can book your next client while you're on the go, at the beach, or just spending time with family and friends. No need to stay glued to your inbox all day long!
Before creating a Proposal, you'll want to have your Package templates set up first. You can then lay out your Packages on the Proposal with branded text and images, similar to your pricing guide or brochure if you already have one. Clients will then be able to select Package(s) to add them to their invoice.
When a client chooses one or more packages and submits your Proposal, an Invoice will be generated with their selections. You can decide whether or not to show this Invoice along with the Proposal so clients can select and pay all in one go. Your Contract can also be attached to the Proposal for a truly hands-off onboarding experience.
Don't want your clients selecting their own Packages and need to create a custom quote instead? You can do that on a Proposal as well. Don't want to show the Contract and Invoice? Not a problem. As with all things in Dubsado, you can customize the Proposal experience so it works best for your unique business process.
The Lead Capture can be embedded on your website (replacing your existing contact form) or shared as a standalone link. Whenever the Lead Capture is filled out and submitted, Dubsado will automatically generate a new project with the client's info.
Lead Captures play a very important role in your Dubsado setup. As you prepare to build a workflow and automate your client process, you'll want to think of the Lead Capture being filled out as the step that kicks off that process.
Ideally, you'll want to have all of your other forms and templates created in Dubsado before embedding or sharing your Lead Capture form. That way, you'll always be prepared when a new client comes in!
